Privacy Policy

1. Overview

FieldForge is operated by DerMar Consulting Group LLC (doing business as ForgeWorks), 3151 Cape Horn Rd, Unit #2092, Red Lion, PA 17356, USA ("we," "us," or "our"). FieldForge is a field service management platform at my-fieldforge.com. This Privacy Policy explains what information we collect, how we use it, and your choices regarding your data. By using FieldForge, you agree to the practices described here.

2. Information We Collect

Account and Business Information

  • Company name and subdomain
  • Account administrator name, username, and email address
  • Technician and dispatcher names and contact information you enter
  • Billing address and payment method (handled by Stripe — we do not store full card numbers)
  • Where you came from when you signed up, and your answer to the optional "How did you hear about FieldForge?" question (see section 6)

Operational Data

  • Customer and job-site records: names, service addresses, phone numbers, email addresses, and job notes you enter
  • Jobs and work orders, appointments and scheduling, and technician assignments
  • Quotes, estimates, invoices, price-book line items, and payment records for work you bill
  • Job photos, checklists, and completion records captured by technicians in the field
  • Technician time-tracking entries and job status history

Usage and Technical Data

  • IP addresses and device information when you access the Service
  • Log data including pages visited, actions taken, and timestamps
  • Browser type and operating system

3. How We Use Your Information

  • To provide, operate, and improve the Service
  • To process payments and manage your subscription
  • To send transactional emails (account verification, billing receipts, payment failure notices)
  • To create and send quotes and invoices and record payments for the work you bill
  • To respond to support requests and communicate about the Service
  • To detect and prevent fraud and abuse
  • To comply with legal obligations

We do not sell your data or use it for advertising purposes.

4. Third-Party Services

We use the following third-party services to operate FieldForge. Each has its own privacy policy governing their use of your data:

Stripe

Payment processing and subscription management. Stripe receives your company name, your account administrator's email address, your billing address and your payment method. We never see or store your full card number. If you collect invoice payments from your customers online, Stripe also processes those payments on your own connected Stripe account: when you set it up, Stripe receives your business name and the email address of the user who connects it, and then the payment details your customers enter on Stripe's checkout page and each invoice's description and amount. stripe.com/privacy

Resend

Email delivery. Resend receives the address and content of every email FieldForge sends: system emails to you and your team (verification, password reset, billing, invitations) and the messages you send your customers by email from FieldForge (such as reminders, on-my-way notices and review requests). resend.com/legal/privacy-policy

Intuit QuickBooks Online

Only if you connect your QuickBooks Online company: the invoices and payments you sync, and the customer details they need (name, email address, phone number and billing address), are sent to your QuickBooks company at Intuit. intuit.com/privacy

Hetzner Cloud

Server infrastructure and data storage. Your data is stored on servers located in the European Union (Falkenstein, Germany). hetzner.com/legal/privacy-policy

Google Analytics

Visit statistics on our public pages only, never inside the signed-in app. Section 5 explains which pages, what it records and how to opt out. policies.google.com/privacy

Cloudflare

Cloudflare Turnstile checks that the signup form is used by a person, not a bot; it processes your IP address and browser signals for that check. Job photos are stored in Cloudflare R2 object storage. cloudflare.com/privacypolicy

Google Fonts

Our pages load the Inter typeface from Google Fonts, which receives your IP address and browser details when the font is downloaded. policies.google.com/privacy

Telnyx

Text messages you send to your customers from FieldForge (reminders, on-my-way notices, two-way texting) are delivered through Telnyx, which receives the phone numbers and message content. telnyx.com/privacy-policy

Anthropic

Feedback you send us from inside the app is analyzed with Anthropic's Claude to help us sort and answer it. Only your message, the page you sent it from, your role, and your browser and app version are sent to Anthropic, not your name or your customers' records. Please leave customer details out of feedback. anthropic.com/legal/privacy

Telegram

When feedback you send from inside the app is a bug report, or our triage marks it as an urgent bug, an alert goes to the FieldForge operator through a Telegram bot so the problem is seen quickly. The alert contains your name, your role, your company name, the page you sent it from, a short summary and up to 500 characters of your message. telegram.org/privacy

5. Google Analytics on our public pages

The home page and its pricing, the sign-up and sign-in pages, this policy, the terms, the blog, the Jobber comparison page and the hourly rate calculator use Google Analytics to count visits and show us which sites and searches send people here. It records the page viewed, the site you came from, your rough location (country and region), your device type and browser, and it sets cookies so it can tell a return visit from a new one. We cut query strings and anything after a # out of the page address and the referrer before they are sent, Google's advertising features are switched off, and Google Analytics does not store IP addresses. It is never loaded inside the signed-in app or on password-reset, invitation, payment, quote or customer-portal pages, so nothing about your business, your customers or your records is sent to Google. You can block it with your browser's tracking protection or a content blocker, or opt out with Google's opt-out add-on. See how Google uses data from sites that use its services.

6. Where you came from

When you create an account we save the site or link that sent you (for example google.com), any campaign tag on that link (such as utm_source), the page you landed on, and your answer to the optional "How did you hear about FieldForge?" question. Until you sign up this note is kept only in your own browser. Once you do, it is stored with your account and is used only to see which channels bring people in. It is not shared with anyone.

7. Data Retention

We retain your data as long as your account is active. Specific retention periods:

  • Job history, job photos, quotes, and invoices: retained for the life of your account so your service and billing records stay intact
  • Account and billing records: retained for the duration of your account plus 7 years for tax/legal compliance
  • Server logs: retained for 30 days

If your subscription is cancelled or ends because a payment failed, your account and data are kept: you can still sign in, view and export your records, and pick up where you left off when you choose a plan again. To have your account and its data deleted, email info@my-fieldforge.com from the account's email address. We then delete your operational data (customers, jobs, quotes, invoices and job photos) within 30 days, keeping only the billing records we must retain for tax and legal purposes. Account admins can export every record as CSV from inside the app at any time.

8. Your Customer Data

You are the data controller for customer information you upload to FieldForge (service addresses, phone numbers, job details, etc.). You are responsible for ensuring you have a legal basis to store and process that information. FieldForge processes this data only as a data processor acting on your instructions.

When you text or email your customers from FieldForge, their phone numbers, email addresses and the message content are passed to Telnyx and Resend (see section 4) to deliver those messages. If you connect QuickBooks Online, take online invoice payments, or set up API keys and webhooks, the records involved go to QuickBooks, Stripe, or the systems you point those keys and webhooks at. You should disclose this to your customers if required by applicable privacy law.

9. Security

We use industry-standard security measures including encrypted HTTPS connections, hashed passwords, and access controls. Job photos are stored with access controls. However, no system is perfectly secure, and we cannot guarantee absolute security of your data.

10. Your Rights

Depending on your location, you may have rights regarding your personal data, including:

  • Access to the personal data we hold about you
  • Correction of inaccurate data
  • Deletion of your account and associated personal data
  • Export of your data in a machine-readable format
  • Objection to certain processing activities

11. Cookies

Our public pages use Google Analytics cookies (such as _ga) to tell a return visit from a new one; section 5 explains what they record, which pages carry them and how to opt out. We do not use advertising cookies, and Google Analytics is never loaded inside the signed-in app. Inside the app we use browser localStorage to keep you signed in; that data stays on your device. Before you sign up, the public pages also keep the short "where you came from" note described in section 6 in localStorage; it leaves your browser only when you create an account. You can block cookies in your browser settings or with Google's opt-out add-on (tools.google.com/dlpage/gaoptout).

12. Children's Privacy

FieldForge is a business tool and is not directed at individuals under 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, contact us and we will delete it.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by displaying a notice in the Service. The "last updated" date at the top of this page reflects the most recent revision.
